Understand the Need
We start by clarifying why the policy is required. The trigger may be a new licence, regulatory finding, business expansion, product launch or scheduled review. We agree on the scope, intended users and level of detail before drafting begins. We also collect the regulations, internal documents and process information needed for the work.
Review Current Practice
We speak with the people who own and perform the relevant activities. This helps us understand what currently happens, where responsibilities sit and which controls depend on manual or system-based steps. If existing practice does not meet a requirement, we identify the issue. We do not write an inaccurate process into the policy merely because that process appears in an old document.
Draft and Validate
The first draft sets out the policy position, responsibilities, controls, approvals and escalation routes. Language is kept direct so employees can understand what is expected. The document is then shared with the relevant stakeholders. Their feedback helps confirm whether the process is accurate and workable. Conflicting comments are resolved before the policy moves to approval.
Finalise and Support
We incorporate agreed changes and prepare the final document for management or board approval, as required. Support can also include an implementation checklist, staff communication, training material or related procedures. Future review points can be agreed so that the policy does not become outdated after approval.
